AI is transforming the way we work. For project managers, the technology creates new opportunities to handle documentation, planning, and communication more effectively. At the same time, it raises important questions: Which tools are available? What can I use? How can I create real business value? This course provides practical answers and hands-on skills.
About the Course
We offer a practical introduction to AI for professionals working in project management. The course combines an understanding of how AI works with hands-on training in the tools available today. You will work on real-world project tasks and leave the course with a personal toolkit that you can use immediately.
After the course, you will be able to
- Use AI assistants to draft, summarize, and quality-assure project documentation.
- Write effective prompts that produce useful and reliable results.
- Assess the strengths and limitations of different AI tools for various tasks.
- Apply secure working practices that protect sensitive information.
- Create customized AI assistants for recurring tasks.
Target Audience
This course is designed for project managers and project engineers who want to improve their effectiveness through the use of AI. No advanced knowledge of AI is required, although some basic familiarity with AI is assumed.
We recommend completing an introductory AI course beforehand, such as AI Sweden’s Start Your AI Journey or an equivalent program.
Course Structure
Half-Day 1: Foundations and Prompt Design (3.5 Hours)
Introduction and Fundamental AI Literacy
- What AI is and what it is not
- Essential terminology and concepts everyone should understand
- The difference between Machine Learning, AI, and Large Language Models (LLMs)
- How language models work: gaining the understanding needed to become a more effective user
AI Assistants in Practice
- Overview of ChatGPT, Claude, Gemini, and Copilot: strengths and limitations
- Free vs. paid versions: capabilities, security considerations, and use cases
- Effective AI interaction: a recommended workflow
Prompt Design Fundamentals
- Clarity, context, role, and format: the four building blocks of effective prompting
- Common mistakes and how to avoid them
Between Sessions (One Week)
- Apply what you have learned to a work task from your own professional environment
- Document what worked well, what was challenging, and any questions that arose
- Prepare to share your experiences during the next session.
Half-Day 2: Advanced Techniques and Practical Application (3.5 Hours)
Experience Sharing

- Collaborative problem-solving and peer-to-peer learning
Advanced Techniques
- Advanced prompting techniques
- Controlling language, tone, and format for professional communication

- Presentation creation and visualization
Security, Ethics, and Responsible Use
- Policies and considerations for AI usage
- Data security, bias, and hallucinations
Closing Session: Your AI Strategy Going Forward

Learning Approach
The course is based on active learning and consists of approximately 25% theory, 25% live demonstrations and 50% hands-on exercises. You will work with realistic project scenarios and receive a digital course guide containing prompt templates and checklists that can be applied directly in your work.
Course Tailoring
The course can be tailored to specific needs, for example through deeper coverage of selected tools or a focus on particular project-related tasks. It can also be extended by one or two additional half-day sessions to cover more advanced AI applications, such as AI agents.
Course Instructors
The course is delivered by Arkatay consultants with technical backgrounds as MSc engineers in Computer Science, specializing in Artificial Intelligence. They serve as nominated subject matter experts through ISO’s technical committee for Artificial Intelligence (ISO/IEC JTC 1/SC 42) and actively contribute to the development of international AI standards.
The instructors combine deep technical expertise with more than 20 years of practical experience in project management and digital transformation. They have led complex programs for both Swedish and international organizations and have developed AI-driven solutions to improve efficiency and effectiveness within project organizations.
